There are three roles in Explain Everything collaborative cloud projects:
Owner
The person who created the project is always its Owner. The project is stored on their account and counts towards their account storage limits. The owner always has full control and is the only person with access to the project settings, access permissions, and collaboration scenario. As soon as the Owner connects to their project, they become the Host.
The Owner can:
- Set the project's Access Permissions.
- Invite specific people by their email or username.
- Set and customize Collaboration Scenarios.
- Mute all other Participants.
- Promote a Participant to become the project's Host and take this role away.
- Gather all Participants to follow them or a participant they choose.
Host
The Host is the person leading the collaboration. By default, all other participants follow the Host's view when they connect to the project. The Host can also control project recording and mute other Participants.
The Host role is dynamic and can be granted by another Host or the project's Owner. Also, if there is no project Owner in the collaboration, the first person with Editing permissions that joins the project becomes its Host. There can be only one Host at a time.
The Host can:
- Mute all other participants.
- Give away the Host role.
- Start and stop project recording.
- Control the camera frame during recording.
Host privileges:
- Everyone who joins the collaboration follows them by default.
- Collaboration Scenarios don't apply to the Host or whoever they're following at the moment.
Participant
Every person that is not the project's Owner or wasn't made the Host is considered a Participant. Participants' feature access is controlled by their Access Permission and Collaboration Scenario.
Collaboration Role Actions
You can promote, demote, and request roles during collaboration.
Become the Host
Available for: Owner
As the Owner, you can take away the Host role from a person who has it currently. This will make everyone who follows the Host follow you instead.
- Select your Profile Picture from the top of the screen.
- From the menu, select Become host.
Make someone the Host
Available for: Owner, Host
As the Host, you can give away your role to one of the participants. This will make everyone who follows you follow the selected person instead.
- Select the CODE from the top of the screen.
- Select the Participant who you'd like to make the Host.
- Choose Make host from the available options.
Mute all Participants
Available for: Owner, Host
Scenario: Open Collaboration or Muted microphones - OFF
The Owner and the Host can mute other Participants' microphones.
- Select your Profile Picture from the top of the screen.
- From the menu select Mute everyone else.
Request Host permissions
Available for: Participants
You can request the Host role from a person that has it currently. Once requested, the Host will receive a notification and will be able to grant you the role. This will make everyone who follows the Host follow you instead.
- Select your Profile Picture from the top of the screen.
- From the menu, select Request host permission.
- The host will receive a notification and will be able to grant you the role.
Following people in collaboration
Following someone takes you to where they are in the project and keeps your perspective tied to theirs. Whenever they move using the Zoom tool, you'll move with them as well.
By default, everyone who joins the collaboration will follow the project's Host. This gives the host the ability to guide their audience through the project.
You can also follow other people that are in the collaboration. The Owner can set up a Collaboration Scenario so that participants have the ability to unfollow the Host and move where they like.
Follow a selected Participant
Available for: Everyone
Scenario: Open Collaboration or CUSTOM: Always follow the host – OFF
You can follow a certain participant in the collaboration. Once selected, you'll be taken to where they are and see what they see.
Note If you're the project's Host, you'll lift the Collaboration Rules for the person you're following.
- Select the project's CODE from the top of the screen.
- Select the participant you'd like to follow.
- From the menu, choose Follow.
Stop following selected Participant
Available for: Everyone
Scenario: Open Collaboration or CUSTOM: Always follow the host – OFF
You can stop following a person and move to where you want in the project.
- Select Zoom.
- Pan to move away from the person's view, and a notification will appear asking if you want to stop following this person.
- Select Unfollow.
Make everyone follow selected Participant
Available for: Owner
You can make everyone in the project follow a selected participant, including you. By doing this, you'll lift the Collaboration Rules for the person you're following.
- Select the project's CODE from the top of the screen.
- Select the participant you'd like everyone to follow.
- From the menu, choose Make everyone follow.
